Administrative Assistant

The University of Mary invites applications for a full-time, exempt Administrative Assistant.  Under the supervision of the Vice President for Public Affairs, the principal objective of this position during campaign preparation is to support the Vice President for Public Affairs in implementing the recommendations of the University of Mary Vision 2030 Strategic Plan. This position will support the Capital Campaign cabinet members as they work to fulfill the campaign initiatives, will assist in establishing campaign policies, and will work with the Mission Advancement staff to organize campaign activities.

Essential Roles and Responsibilities Include:

  • Assist in developing a communications program to be implemented in support of the intensive fundraising phases of the campaign
  • Assist in implementing study recommendations
  • Assist in enlistment, orientation and communication with campaign volunteers
  • Maintenance and coordination of calendar between university/committees
  • Support of volunteer and committee meetings
  • Assist in implementing appropriate plans for donor/volunteer recognition
  • Interface with major gifts officers
  • Assist in organizing and attending evening cultivation, prospect, and action meetings with the University President and his advisors
  • Manage calendar of Vice President for Public Affairs and Campaign Cabinet members
  • Schedule meetings and phone calls for Vice President for Public Affairs
  • Provide travel assistance for Vice President for Public Affairs and others in the department
  • Assist in documenting and implementing campaign policies
  • Assist in producing campaign materials
  • Assist in maintaining campaign calendar
  • Accurately and timely enter data and generate reports as requested
  • Maintain confidentiality regarding all aspects of the work environment
  • Perform other duties as requested and assigned
  • Upholds and promotes the Christian, Catholic, Benedictine mission of the University of Mary
  • Supports the ongoing implementation of Ex Corde Ecclesiae, the apostolic constitution on Catholic colleges and universities
  • Builds a culture of ready and earnest hospitality in the Office of Public Affairs and throughout the university in accord with Saint Benedict’s admonition that all be received as Christ

Qualifications Include:

  • A Bachelor’s degree is required
  • Five or more years related administrative experience
  • Solid working knowledge in Microsoft Office suite

  • Possess excellent customer service and telephone talents
  • Possess excellent writing skills (professional, academic, and anecdotal)
  • Proficient in technology, electronic data processing and database management

  • Desire to work in an environment of continuous improvement
  • Ability to effectively meet and communicate with public
  • Highly detail oriented with a critical degree of accuracy
