Administrative Assistant – Financial Aid Office

The University of Mary invites applications for a full-time, non-exempt Administrative Assistant for the Financial Aid Office.  The Administrative Assistant for the Financial Aid Office performs a wide range of administrative/office support activities for the department and/or directors to facilitate the efficient operation of the Financial Aid Office.

Essential Roles and Responsibilities Include:

  • Answer, screen and transfer inbound phone calls and requests for information
  • Receive and direct visitors and answer general aid inquiries
  • Assists students and parents by phone or in person with all questions
  • General clerical duties including photocopying, fax and mailing
  • Maintain filing system
  • Schedule and coordinate meetings for the office
  • Open, sort and distribute incoming correspondence
  • Transmits and receives all files daily from CPS using EdConnect
  • Maintain daily ISIRs, monitors and prints financial aid transcripts from NSLDS on each transfer student
  • Updates communication letters yearly and as needed, within federal and institutional guidelines
  • Maintain office supply inventories and financial aid communication pieces
  • Load  Nursing Student Loan MPN notes to ECSI Website
  • Collect all Nursing Student Loan MPNs, either electronic or paper. Ensures entrance loan counseling is complete  prior to disbursement
  • Assists with appropriate Consumer Information dissemination, specifically:
    • Mailing loan disbursement notification letters within federal guidelines
    • Processing of exit packets as students withdraw and/or graduate
  • Maintain FERPA compliance
  • Supports the university in the administration of financial aid within the realm of federal regulations
  • Maintains the integrity of the University of Mary through ethical interaction with students and through quality data processes
  • Upholds and promotes the Christian, Catholic, Benedictine mission of the University of Mary
  • Supports the ongoing implementation of Ex Corde Ecclesiae, the apostolic constitution on Catholic colleges and universities
  • Builds a culture of ready and earnest hospitality in the Office of Financial Affairs and throughout the university in accord with Saint Benedict’s admonition that all be received as Christ

Qualifications Include:

  • A high school education is required
  • Two years of financial aid or work-related experience is required

Knowledge and Skills Include:

  • Detail-oriented with the ability to work under pressure
  • Ability to organize workflow in a self-directed manner
  • Exceptional written, oral, and interpersonal skills are critical as interaction will require times of sensitive interaction with students and families
  • Excellent communication skills in order to interact daily with students, faculty, and staff
  • Must possess the ability to present a professional image in all telephone and personal contacts
  • Ability to work independently
  • Ability to prioritize daily duties
  • Strong understanding of computer programs, including Word, Excel, and Access, EdConnect, Jenzabar, and PowerFaids
