Administrative Assistant for the School of Arts and Sciences

The University of Mary invites applications for a full-time, non-exempt 9-month Administrative Assistant for the School of Arts and Sciences.  This position’s  primary responsibilities would be to provide administrative support to faculty, program directors, and the Dean of the School of Arts and Sciences.

Essential Roles and Responsibilities Include:

  • Welcomes students and visitors at reception desk and assists with general questions
  • Assists faculty in school with various projects, provides basic office assistance to faculty, including photocopying, scanning, submitting work orders and IT tickets, fills out purchase orders and expense reimbursements forms as requested
  • Proctors student exams and collects student papers as necessary
  • Alerts students of faculty absences from class
  • Assists with the preparation of semester classroom assignments
  • Prepares for and assists new faculty members, including purchasing office supplies, requesting phone extension, preparing office space, etc
  • Records meeting minutes
  • Distributes posters to various places on campus
  • Assists Admissions in arranging visits of potential students with faculty members
  • Assists with general office duties including: enters data in timely and accurate manner, processes incoming and outgoing mail, answers phone calls, orders and maintains stock of office supplies, answers phone calls, ensures proper functioning of basic office equipment, and works cooperatively with other administrative staff
  • Maintains confidentiality regarding all aspects of the work environment
  • Performs other duties as requested and assigned
  • Upholds and promotes the Christian, Catholic, Benedictine mission of the University of Mary
  • Supports the ongoing implementation of Ex Corde Ecclesiae, the apostolic constitution on Catholic colleges and universities
  • Builds a culture of ready and earnest hospitality in the Office of Academic Affairs and throughout the university in accord with Saint Benedict’s admonition that all be received as Christ

Qualifications Include:

  • Associate’s Degree required
  • Two years of work experience in an office support position required

Knowledge and Skills Include:

  • Advanced use and understanding of Microsoft Word software and other general office equipment
  • Ability to work as a team member as well as independently
  • Ability to work well under pressure
  • Possess excellent customer service skills
  • Possess the ability to work with a diverse group of people
  • Ability to interact effectively with students, faculty and staff
