Administrative Assistant I for Mission Advancement

The Administrative Assistant I, a full-time, 12 month, non-exempt position, provides administrative support to Mission Advancement staff at the University of Mary.

Essential Roles and Responsibilities Include:

  • Assists the Director of Alumni Relations and Director of Mission Advancement as needed
  • Performs administrative functions to support the daily operations of the department, answering and directing phone calls, taking messages for the staff, responding to emails, entering data and maintaining databases, preparing reports and correspondence, making copies, assembling documents and reports, maintaining records and files, managing incoming and outgoing mail, maintaining office equipment, and managing supplies inventory
  • Performs data entry to accurately update information in Raiser’s Edge
  • Manages the bi-weekly “thank you” notes to donors
  • Fills out check requests, purchase orders, and expense slips
  • Prepares donor proposals and follow-up call report forms
  • Creates and maintains invitation lists

Desired Minimum Qualifications, Education, and Experience include:

  • High School diploma required
  • Associate’s degree or bachelor’s degree preferred
  • A minimum of 2 years of related administrative experience and previous experience with Microsoft Office is required
  • Upholds and supports the Christian, Catholic, Benedictine mission of the University of Mary
  • Supports the ongoing implementation of Ex Corde Ecclesiae, the apostolic constitution on Catholic colleges and universities
  • Builds a culture of ready and earnest hospitality in the office of Public Affairs and throughout the university in accord with Saint Benedict’s admonition that all be received as Christ

Knowledge and Skills Required:

  • Proficiency with Microsoft Office software applications
  • Excellent customer service skills
  • Strong interpersonal skills
  • Strong communication skills
  • Attentiveness to detail
  • Ability to type
