Administrative Assistant – Undergraduate Nursing Clinical Placement Liaison

The University of Mary is seeking qualified candidates for the full-time, non-exempt Administrative Assistant – Undergraduate Nursing Clinical Placement Liaison position that is currently open in the Nursing Division within the School of Health Sciences.  This position provides office support for the Accelerated 2nd Degree BSN Program as well as coordination, record management, documentation and reporting of clinical placement for all undergraduate nursing students.

Essential Roles and Responsibilities Include:

  • Coordinates overall management of precepted distance undergraduate nursing clinical placements primarily for NUR 450 preceptorship placement (all programs) and LPN to BSN student placement. Additional student placement requests may be negotiated with Course faculty as time allows
    • Orientate students to clinical placement process
    • Collect preceptor data sheets
    • Contact potential preceptors and clinical agencies to secure student placement with approval of Program Coordinator
    • Partner with faculty to ensure a seamless clinical placement process for students and the professional network of preceptors and clinical sites
    • Arrange for and assure timely signing for all agency and preceptor agreements
    • Collect, track, and distribute ongoing documentation requirements of students set by clinical agencies
    • Distribute evaluation reports to Chair, Program Coordinators, and respective clinical course faculty
  • Provide management of Certified Background clinical tracking system:
    • Serve as point of contact for undergraduate nursing students
    • Create and update student accounts to include but not be limited to immunizations, criminal background checks, licensure, and certifications
    • Manage clinical site and preceptor information
    • Administer, collect, and collate results of student and clinical site evaluation data
  • Prepare reports for Program Coordinators:
    • Verification of potential preceptor credentials and clinical setting
    • Clinical activity of students
    • Clinical site and preceptor utilization
    • Summary report of:
      • Student clinical site evaluations
      • Preceptor evaluations of student performance
  • Promotes applicant, student, and community as well as University stakeholders satisfaction through hospitable and timely email and phone communications
  • Performs routine clerical duties in a proficient and timely manner including, but not limited to:
    • Agendas, minutes, handbooks, syllabi/learning guides, handouts, exams, purchase orders, provides reports for faculty, and proctor communications
  • Support Coordinator and nursing faculty needs for the Accelerated 2nd Degree BSN program
  • Assists with scheduling and document preparation for meetings
  • Prepares and distributes program acceptance communications to students; enters, updates, and maintains accurate student data in Jenzabar
  • Participate in monthly undergraduate program meetings and portion of Annual Program Assessment Days related to clinical experiences
  • Upholds and promotes the Christian, Catholic, Benedictine mission of the University of Mary
  • Supports the ongoing implementation of Ex Corde Ecclesiae, the apostolic constitution on Catholic colleges and universities
  • Builds a culture of ready and earnest hospitality in the School of Health Sciences and throughout the university in accord with Saint Benedict’s admonition that all be received as Christ

Qualifications Include:

  • High school graduate or GED required
  • Bachelor’s of Science degree preferred
  • Ability to operate computer systems (i.e. Word, Excel, student management software and web database of the clinical tracking system) required
  • One year of administrative experience required

Knowledge and Skills Include:

  • Ability to be self-directed
  • Expertise in interpersonal relations
  • Strong organizational and multi-tasking skills
  • Minute taking/transcription experience desirable
  • Ability to operate office equipment
  • Microsoft Windows/Office programs and networking skills
